Instructions for authors

General information

The conference has been organized in an online streaming format and will be held through the EvenTwo platform. In general, there will be two types of sessions: plenary sessions and parallel sessions.
In all sessions, there will be a moderator and each participant will share their screen and present their own work.

The following aspects must be taken into account to prepare your presentation:

  • Parallel sessions last 1 hour and 30 minutes.
  • Each participant  has 15 minutes to present the content of the talk, including questions.
  • Plenary talks lasts 1 hour, with 45 minutes time for the presentation.
  • Presentations will be made by sharing the screen. It is not necessary to upload the presentation to any server.
  • It is recommended to check the settings of each personal computer to avoid audio and image problems.
  • To improve the audio quality, it is recommended to use personal headphones.
  • It is recommended to use WebCam, although not strictly necessary.

BEFORE THE VIDEO CONFERENCE

  • An open and efficient home workspace: Before paying attention to the oddities of video conferencing from home, it is crucial to pay attention to the workspace. As much as possible, you should create your space. A pleasant workspace will project a positive image of you.
  • Light and a neutral background in your home: Ideally, do the video conference in a space with lots of natural light. That way, the image of your face will be sharp and clear. In case you don’t have too much sunlight, you should sit where the light from a not too intense fluorescent hits. The background should be neutral. That is, it should not be cluttered or cluttered with personal items and decorations.
  • Dress professionally, even at home: It is not that you go with a tie, but you should dress formally, or as you would in your face-to-face office. Shirt, pants and comfortable shoes or footwear. With such simple clothing you can now access the session, as long as there is no dress code or dress code that forces you to dress differently.
  • Close all Apps and software to improve the performance of the session: Before starting the video conference session, close all open programs or applications, especially those that contain personal data or that require a lot of effort from the computer’s processor. A videoconference requires a lot of resources, so it would be necessary to allow the entire capacity of the equipment to go to the session.
  • Don’t have any more tabs open in the browser (in case you share the screen): Leave only meeting-related tabs open. Webinar and video conferencing programs allow you to share your screen. Therefore, it is a good idea to close all the browser tabs that do not have to do with the session. In this way, you avoid sharing private information with those attending the virtual meeting. Put order on your desk If you are going to share the desktop, you should order the elements (documents, programs) that appear displayed. A chaotic desk is a bad cover letter. Also, verify that there are no files or software that correspond to your personal scope. For reasons of privacy and professionalism.
  • Check your home internet connection: Bandwidth is key for a good videoconference development. If the connection works poorly, you will have problems to continue the session normally.

Windows:

    1. Windows key + R

    • Check firewall or proxies (we need to open TCP port 1935)
  • Test the video and audio: You should test the video conferencing software before the session, especially if it is the first time we use it. Most video conferencing systems have a test or test function. Look at the options or the settings menu. To play it safe, get in front of your computer a few minutes before the video call. To check that everything works normally, and to enter the session as soon as possible.
  • Place the webcam at eye level: You must place the webcam at an optimal height. Try to make it at eye level so that you are not looking up or down. This way you will avoid spending the whole session offering the vision of your nostrils. On the other hand, when you’re talking, don’t look at the screen, but at the webcam. This way, you won’t give the feeling of being distracted or thinking about something else. Looking at the webcam is the equivalent of looking into the eyes of another person in a face-to-face meeting. That contact gives more strength and authenticity to everything you have to say.
  • Use headphones: Due to its proximity to the mouth, the headphones will offer a better sound.
